Applicants must have Grade 12 (Matric). A certificate or diploma in Office Administration or a SHE-related field will serve as an advantage. Candidates must be computer literate in MS Teams, Excel, Word, and Outlook. Previous experience in SHE administration or a general administrative role will be beneficial. The ideal candidate must demonstrate strong organisational and data management skills, excellent written and verbal communication abilities, attention to detail, and the ability to work under pressure while handling multiple tasks. Professionalism and confidentiality are essential.
The successful candidate will be responsible for SHE Administration and Data Management, ensuring that all SHE data, reports, registers, and records are accurately captured, updated, and maintained. This includes compiling and organising site safety files, filing and archiving documents both digitally and in hard copy, and tracking expiry dates for SHE training, medicals, legal appointments, competencies, and Letters of Good Standing (LoGS).
The role requires active coordination and follow-ups with site managers, supervisors, and support departments to obtain outstanding documentation and information. The SHE Administrator will assist in monitoring action plans, audit findings, and closing out non-conformances. Liaising with service providers for training bookings, confirmations, and documentation collection will also form part of the responsibilities, while supporting effective communication between the SHE Specialist and operational teams.
Meeting support is another key function of the role. The candidate will coordinate SHE meetings, audits, training sessions, and site visits. This includes sending meeting invitations, managing attendance registers, taking accurate minutes during Health and Safety Committee meetings, distributing minutes timeously, and tracking action items to ensure follow-up.
In addition, the successful applicant will support training and compliance activities by scheduling required SHE training, collecting and filing certificates, maintaining the SHE Training Matrix, and assisting with the preparation and issuing of legal appointments. The role also involves compiling reports, statistics, and compliance summaries, managing calendars and reminders for the SHE Specialist, and providing administrative support during audits, inspections, and investigations.
The ideal candidate must be proactive, reliable, accountable, and committed to maintaining high compliance standards while contributing effectively as part of a team.
