Thales is looking for a HR Administration Intern

Applicants must have Grade 12 or an equivalent qualification. Candidates with previous administrative or HR support experience will have an advantage. The ideal candidate should be highly organised, computer literate, and able to work with systems such as SAP, Oracle, and other internal platforms. Strong communication skills, attention to detail, and the ability to manage confidential information professionally are essential. Applicants should also demonstrate good time management skills, the ability to work under pressure, and a willingness to support various HR functions across the organisation.

The successful candidate will be responsible for a variety of HR administration duties to support the HR team and ensure efficient operations. This includes managing employee records by accurately filing HR documentation both electronically and in hard copy format. The role also involves conducting monthly internal audits on personnel files and updating the company organogram regularly. In addition, the HR Administrator will assist with preparing and compiling monthly HR reports and supporting the organisation of company meetings and townhall events.

The position also requires support with internal systems and administration. This includes creating purchase requisitions on Oracle, assisting with the creation and termination of employee profiles on SAP, and updating employee banking details on internal systems. Maintaining accurate records and ensuring all documentation is properly uploaded onto internal portals forms an important part of the role.

The HR Administrator will also assist with recruitment and employee lifecycle processes. Responsibilities include preparing interview packs, posting non-senior job vacancies, scheduling interviews, screening candidates, and assisting with reference checks. The role also supports onboarding and offboarding processes by preparing employment contracts, onboarding packs, arranging induction sessions for new employees, and coordinating exit interviews when employees leave the organisation. Ensuring company property is returned during the termination process is also required.

In addition, the candidate will help coordinate employee wellness initiatives and support bursary or school fee applications where required. The HR Administrator will assist with arranging employee training sessions, scheduling training events, maintaining training documentation, and ensuring records are updated accordingly. They will also assist in coordinating HR meetings, committees, and forums while taking accurate minutes during meetings.

The role further includes providing general administrative assistance during HR projects, audits, and special initiatives within the department. The successful candidate will also be expected to assist with any additional HR duties that arise from time to time while maintaining compliance with company policies and procedures.

The successful candidate must follow all health, safety, and environmental policies, ensure safe working practices, and contribute to initiatives aimed at conserving resources and maintaining a safe workplace environment.
