This position plays a crucial part in ensuring that daily picking activities, inventory processes, and administrative responsibilities are carried out seamlessly. The successful candidate will serve as the vital link between warehouse floor operations and administrative reporting functions, ensuring that customer orders are fulfilled accurately and on time. By leveraging a Warehouse Management System (WMS), the incumbent will help maintain stock integrity, streamline workflows, and uphold company standards and procedures.
The primary responsibility of this role is to coordinate and execute daily picking activities in alignment with customer orders and delivery schedules. The Picking / Warehouse Administrator will use the WMS to generate pick lists, allocate stock correctly, and confirm the completion of orders with precision. Accuracy is essential, as all picked items must be verified against order specifications to reduce errors, returns, and customer dissatisfaction. The role also involves managing wave planning and batch picking processes to maximise operational efficiency. Where discrepancies, short shipments, or stock variances arise, the incumbent will investigate and resolve such issues promptly to maintain smooth distribution processes.
To be considered for this opportunity, candidates must meet specific minimum requirements. A Matric / Grade 12 qualification (NQF Level 4) is essential. A Diploma or Certificate in Warehousing, Logistics, Supply Chain Management, or a related field will be advantageous. Applicants should have a minimum of two to three years’ experience in a warehouse picking or warehouse administration environment. Proven, hands-on experience working with a Warehouse Management System such as SAP WM/EWM, Manhattan, Blue Yonder, Infor, Oracle WMS, or similar platforms is required. Experience using barcode scanners, RF devices, and automated picking technologies is also essential. Prior exposure to a fast-paced distribution or fulfilment centre environment will be highly beneficial.
In addition to picking coordination, the role carries significant Warehouse Management System administrative responsibilities. The incumbent will operate and maintain the WMS for all picking, packing, and dispatch-related transactions. This includes processing goods receipts, stock transfers, location moves, and inventory adjustments within the system. Generating and analysing WMS reports, such as pick accuracy metrics, throughput statistics, ageing stock reports, and cycle count outcomes, forms part of the daily administrative duties. The Picking / Warehouse Administrator will also troubleshoot system-related issues and escalate faults to the IT department or WMS vendor where necessary. Participation in system configuration updates, user setup, and testing during upgrades or implementations may also be required.
Inventory management and stock control are equally important components of this position. The successful candidate will conduct daily cycle counts and assist with periodic full stock takes to ensure that physical stock aligns with WMS records. Monitoring stock levels, identifying slow-moving or obsolete items, and recommending corrective measures are essential tasks. Maintaining accurate bin locations and ensuring correct product slotting within the warehouse will help optimise space utilisation and picking efficiency. The incumbent will also support the implementation and maintenance of FIFO (First In, First Out) or FEFO (First Expired, First Out) principles to safeguard product quality and reduce losses.
Administrative and reporting responsibilities are integral to the role. The Picking / Warehouse Administrator will prepare daily, weekly, and monthly warehouse performance reports for management review, providing insights into productivity and operational effectiveness. Accurate filing systems must be maintained for delivery notes, proof of delivery (POD) documentation, and picking records. The role requires close coordination with procurement, sales, and transport teams to align order priorities and ensure smooth communication across departments. The incumbent will also manage returns, credits, and documentation related to damaged goods, while assisting with general administrative tasks such as data capturing, correspondence, and scheduling.
Health and safety compliance is a non-negotiable aspect of warehouse operations at Optix. The successful candidate must adhere strictly to all warehouse health and safety regulations and company policies. Maintaining a clean, organised picking area that complies with 5S standards is essential for operational efficiency and safety. Any hazards, incidents, or near-miss situations must be reported in accordance with Occupational Health and Safety (OHS) Act requirements to ensure a safe working environment for all employees.
